1. Our commitment to your privacy

FuturFund (“FuturFund,” “we,” “us,” or “our”) is a registered Canadian non-profit organization. We respect your privacy and are committed to protecting the personal information you share with us. This Privacy Policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have.

This policy is designed to follow the fair information principles set out in the federal Personal Information Protection and Electronic Documents Act (PIPEDA), whether or not PIPEDA applies directly to FuturFund’s activities. This policy also reflects our commitment to complying with Canada’s Anti-Spam Legislation (CASL) and applicable provincial privacy laws. We will update this policy as needed to reflect changes in applicable law, including any provisions of Bill C-27 (the Consumer Privacy Protection Act) that come into force.

2. What personal information we collect

We collect personal information that you choose to provide to us, including:

  • Name;
  • Email address;
  • Company or school;
  • Age range;
  • Sweepstakes or contest entry information;
  • User Content submissions, such as stories, photographs, and videos; and
  • Parental or guardian consent records, where required.

You may provide this information when you sign up for our newsletter, apply to become a volunteer or campus ambassador, register for events, or otherwise communicate with us.

We may also automatically collect limited technical information when you visit our website, such as your device type, browser, IP address, and general usage data, through cookies and similar technologies (see Section 11 of this Privacy Policy for details).

3. Why we collect and use your personal information

We use the personal information we collect to:

  • Send you our newsletter and other communications you have asked to receive;
  • Process and respond to volunteer, ambassador, and event applications and inquiries;
  • Operate, maintain, and improve our website and programs;
  • Understand our audience and measure the reach and impact of our work;
  • Communicate with you about FuturFund’s activities, opportunities, and events; and
  • Comply with legal and regulatory obligations.

We collect your age range in order to confirm eligibility for our programs and to ensure we handle information appropriately for younger participants. We collect a range rather than an exact age or date of birth so that we only collect what we need. We will not use your personal information for purposes that are incompatible with those described here without first obtaining your consent.

4. Consent

We collect, use, and disclose your personal information with your consent. By providing your personal information to us — for example, by submitting a form or entering a sweepstakes — you consent to our handling of it as described in this policy. Where our services are directed at minors, we will obtain consent from a parent or legal guardian as described in Section 5 of this policy. You may withdraw your consent at any time by contacting us using the details in Section 13 below. We will act on your withdrawal promptly, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may affect our ability to provide certain services to you. We comply with Canada’s Anti-Spam Legislation (CASL): we will only send you commercial electronic messages (such as marketing emails) with your express consent, and every message will include our identification and a working unsubscribe mechanism.

5. Young people and parental consent

FuturFund’s programming is designed primarily for young women aged 16–25, and some of the people who interact with us are under the age of majority.

Because our programs are designed for young people aged 16 to 25, some of the people who use the Service are under 18. We treat the personal information of anyone under 18 as sensitive and take extra care with it. For children under 13, we do not knowingly collect personal information; if we learn that a child under 13 has provided personal information without verified parental consent, we will delete it promptly. For young people aged 13 to 17, we require the consent of a parent or legal guardian before collecting their personal information. We may verify this consent through a signed consent form or a parental consent acknowledgment on our online forms. We limit the information we collect from young people to only what is needed for the specific purpose. We do not use the personal information of minors for marketing unless a parent or guardian has given separate, express consent. If you are a parent or guardian and believe your child’s information has been collected without proper consent, please contact us immediately (see Section 13 below) and we will delete it.

When a user who was a minor reaches the age of majority (18 in Ontario), we will seek their own independent consent to continue holding and using their personal information. If they do not provide consent, we will delete their personal information within a reasonable time.

6. How we share your personal information

FuturFund does not sell your personal information. We may share personal information in the following limited circumstances:

Service providers. We work with third-party service providers who help us operate, including website hosting providers, email and newsletter platforms, form and survey tools, analytics providers, and payment processors (for donations, if applicable). These providers may access personal information only to perform services on our behalf and are required by contract to protect it. Some of these providers may be located outside Canada (see Section 7 below).

Legal requirements. We may disclose personal information where required to do so by law, or to protect the rights, safety, or property of FuturFund or others.

With your consent. We may share personal information for other purposes if you direct or consent to it.

7. Where your information is stored

Your personal information is primarily stored in Canada. Some of our service providers may store or process data in other countries, including the United States. Where information is stored or processed outside Canada, it may be accessible to courts, law enforcement, and authorities in those jurisdictions in accordance with their laws. We enter into written agreements with service providers that require them to protect your personal information to a standard consistent with this policy.

8. How we protect your personal information

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

In the event of a breach of security safeguards involving your personal information that creates a real risk of significant harm, we will notify affected individuals and, where required by applicable law, the Office of the Privacy Commissioner of Canada, as soon as feasible after determining that the breach has occurred. We maintain records of privacy incidents in accordance with applicable law. If a breach affects your personal information, we will tell you what happened, what information was involved, what we are doing about it, and what steps you can take to protect yourself.

9. How long we keep your personal information

We retain personal information only for as long as necessary to fulfil the purposes described in this policy, or as required by law. As a general guide: newsletter subscriber information is retained until you unsubscribe or request deletion; sweepstakes entry information is retained for up to one (1) year after the sweepstakes closes; volunteer and ambassador application records are retained for up to two (2) years; and User Content submissions are retained for as long as the content is published, plus a reasonable period for archival purposes. When personal information is no longer needed, we securely delete or anonymize it.

10. Your privacy rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you;
  • Request correction of inaccurate or incomplete information;
  • Withdraw your consent to our use of your information;
  • Unsubscribe from our communications at any time, using the unsubscribe link in our emails or by contacting us;
  • Request deletion of your personal information, subject to any legal obligation to retain it;
  • Request that your personal information be provided to you in a structured, commonly used format, where required by applicable law; and
  • Ask questions or raise concerns about how we handle your information.

To exercise any of these rights, please contact us using the details in Section 13 below. We may need to verify your identity before responding. We will respond within a reasonable time. If your request relates to a minor, a parent or legal guardian may exercise these rights on the minor’s behalf.

11. Cookies and analytics

Our website may use cookies and similar technologies to improve your experience and understand how visitors use the Service. We use two categories of cookies: (a) essential cookies, which are required for the website to function and cannot be disabled; and (b) analytics cookies, which help us measure and improve our content. You can set your browser to refuse cookies or to alert you when cookies are being sent. If you disable cookies, some parts of the website may not function properly. We do not use tracking cookies for advertising or profiling purposes.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date above and post notice on the Service. For material changes that affect how we handle personal information of minors, we will provide at least thirty (30) days’ notice and take reasonable steps to notify parents or guardians of affected users.
